Office Assistant

General Document maintenance:
· Office card entry system: maintain new cards / returned cards, adding & removing users, reports (as and when)
· Attendance report – monthly
HR Assistance:
Maintain documents (these are generally monthly, unless mid-month joiners or terminations):
· Onboarding platform document – terminated & new employees
· Health & Safety training & certificates for UOP (Contract of Employment)
· Medical examinations UOP (Contract of Employment)
· Scanning of HR documents
· Collation of GDPR forms
Support (as and when):
· Onboarding and Off-boarding process
· Assistance with contacts to - Healthcare, Benefit System
· Travel Insurance updates
· Recruitment
· Any other ad-hoc HR related duties required
Payroll assistance:
· Monthly Timesheets updated by deadline
· Monthly Vacations report updated by deadline
· Any other ad-hoc Payroll related duties required
Finance:
· Scan and upload expense receipts to Finance System
· Any other ad-hoc Finance related duties required
Office:
· Office shopping/ordering when required – kitchen and food items, miscellaneous office items - Retain & scan receipts
· Vendors maintenance and point of contact - For Cleaning / Internet / Office Landlord etc.
· Assistance with all travel bookings for employees: Flights/hotels
· Manage incoming Post
· Manage ALL scanned documents to Accountants – weekly/bi-weekly and arrange delivery to their office
· Assist with arranging staff events
· Assist in admin/evidence gathering of SOC2 / ISO 27001 compliance
· Administration Support to Chief Technology Officer and Lead Data Analyst
· Any other ad-hoc office related duties required
Qualifications/Skills:
Fluent in English – spoken and written
- Experience with Microsoft Office – Word/Excel/SharePoint etc.
- Office administration experience
- Eager to learn new systems
- Good collaboration skills with teams
