The Role
As an Executive Assistant & Office Manager, you will support the people, office, and business functions by assisting with daily administrative and operational tasks and streamlining office processes. You will handle routine People activities such as low-level hiring and branding activities, onboarding, tool management and upkeep, and employee inquiries. You will contribute to office hygiene, and maintaining efficient office operations, including but not limited to managing supplies and coordinating events. Your role also involves supporting business functions through data entry, financial tool management, reporting, and process improvements.
Overall, you will help ensure smooth, efficient operations across various organizational areas, and always be on top of your work, two steps ahead of what is expected or what is coming your way. Intuitive awareness, pace, and ownership are key qualities we are hiring for in this role.

- You enjoy communicating effectively: You have strong verbal and written communication abilities to interact effectively with team members, handle inquiries, and convey information when required and needed. English is mandatory, and German is nice to have.
- You have impeccable attention to detail: You manage tasks with precision and execute administrative tasks to avoid errors and ensure accuracy.
- You are solution-minded anwd enjoy problem-solving: You have a great ability to identify issues, analyze situations, and implement effective solutions to improve processes and resolve challenges.
- You are tech-savvy: You are familiar with office software (e.g., Google Workspace) and have a basic understanding of HR, recruitment and financial systems and data management tools.
Responsibilities
- Provide general administrative and operational assistance, including scheduling meetings, managing correspondence, and maintaining office supplies.
- Support the People functions such as hiring and branding tasks, onboarding new employees, managing employee records, and assisting with payroll and benefits administration.
- Assist in identifying and implementing process improvements to enhance efficiency and effectiveness within office operations and business functions.
- Handle data entry, maintain databases, and generate reports to support decision-making.
- Ensure smooth daily office operations by coordinating logistics, managing facilities, and organizing internal events and meetings.
