The Challenge

The Real Estate and Workplace organization is dedicated to setting, implementing, and optimizing an integrated, inclusive, sustainable, safe, and secure physical and digital workplace experience for OneTrust’s distributed global workforce. The Real Estate and Workplace team is comprised of Workplace Management and Workplace Coordinators.

As the Senior Workplace Manager – North America, you will be responsible for managing all core services required for OneTrust workplaces to function well. This includes managing vendors for cleaning, facilities, mail and package processing, food and beverage programs, health and safety standards, managing moves, changes to the space, and small capital projects across the global portfolio. You will also oversee aspects of hospitality, conferencing, and events.

Your Mission

You will be responsible for the following categories of work:

  • Operational Processes Budgeting and Forecasting: You will be responsible for managing the budget for each OneTrust workplace and estimating and tracking budgets for projects.
  • Cleaning, Facilities, and Core Services: You will be responsible for managing onsite Workplace Services staff. This includes existing team members and contracted staff employed by cleaning, facilities, mail and packaging, and food & beverage vendors. You will partner with Real Estate and Workplace leadership to set standards and staffing ratios for OneTrust locations, contribute to the RFP process by leading our team’s efforts to align stakeholders.
  • Moves, Adds, and Changes: You will be responsible for setting standards, establishing processes and cadences. You will directly oversee and manage all moves in EMEA and APAC as well as changes to OneTrust workplaces. You will also be responsible for estimating budgets, vendor support and other components for managing such projects.
  • Small Capital Projects: You will be responsible for overseeing small capital projects in OneTrust spaces. This will involve managing some teams remotely and some teams directly onsite, depending on the project. You will partner with landlords, property management companies, co-working providers as well as the vendors who will execute the projects on our team’s behalf.
  • Hospitality, Events and Space Planning: You will be responsible for developing a strategy and a set of standards for hospitality at OneTrust. As part of this strategy, you will determine programming and standards for events in partnership with the marketing team, executive support staff, and the people and culture team. You will be responsible for planning the allocation of OneTrust offices spaces in alignment with team needs and efficiency metrics. This means you will maintain updated floor plans for all OneTrust office spaces in EMEA and APAC and develop innovative approaches to planning space and space usage. You will also contribute to team headcount projections and changes to communicated in partnership with real estate and workplace leadership.
  • Digital Workplace Management: You will be responsible for maintaining software such as an integrated workplace management system used for desk booking, conference room booking, etc.

You Are

  • Partner with real estate and workplace leadership to define norms, benchmarks, and targets around operating and capital expenditures as related to the OneTrust workplace.
  • Develop status update presentations/emails/reports to communicate project progress and organizational achievements to senior leadership.
  • Manage vendor relationships and vendor contracts, both regionally and globally.
  • Manage the performance of all contracted vendors, consultants, and others. Negotiate contracts with vendors as required.
  • Provide leadership and direction to existing onsite workplace team members for dedicated OneTrust spaces. Partner with coworking providers managing shared space in our coworking offices.
  • Build a strong relationship with external landlords and property management teams and to act as the primary point of escalation as it pertains to building and lease related matters.
  • Respond to all executive team requests with a focus on delivering an excellent customer experience.
  • Develop short and long-term facility operations and maintenance plans, small renovation projects, along with preventative maintenance and cost reduction strategies.
  • Server as Primary Point of Connect (POC) and relationship owner for all onsite services including space acquisition, design and construction through to occupancy and operation, and if necessary, space decommissioning, and subleasing efforts. You will be an active stakeholder and a leader in new office design and construction projects, the management of operations, and collaborate on any real estate and workplace projects affecting the employee environment.
  • Provide timely and clear information, communication, and feedback between all workplace teams, global teams, cross-functional partners, and other key stakeholders.
  • Collaborate and interface with vendors, internal clients and business partners such as the people and culture team, the finance team, the IT team, the procurement team, and senior leadership to ensure successful delivery of workplace projects and alignment with governance standards.

Cleaning, Facilities, and Core Services:

  • Ensure all facilities are operated and maintained in alignment with established standards, laws, regulations, procedures and local health and safety guidelines.
  • Responsible for all vendor RFPs and contracts including evaluation of overall performance management, key performance indicators (KPIs) and service level agreements (SLAs). Align the goals and values of OneTrust with vendor policies, procedures, and culture.
  • Ensure all facilities are operated and maintained in alignment with established standards, laws, regulations, procedures, and local health and safety requirements.

Moves, Adds, and Changes:

  • Manage a dedicated vendor support team for execution of office alterations and repairs, operational office spin ups, and moves, adds, and changes (MACs).
  • Develop processes and protocols for moves, adds, and changes. This includes partnering with communications, the real estate and workplace leadership and other key stakeholders to develop clear, streamlined processes with predictable spending and while minimizing disruption to employee workflow.
  • Manage requests and communications with employees through JIRA, our internal communication tool, in partnership with other real estate and workplace team members.

Small Capital Projects:

  • Assess office space growth requirements in partnership with real estate and workplace leadership to track and respond the needs of real estate projects.
  • Develop and maintain a “look ahead” report of anticipated small capital projects.
  • Recommend changes to workplace standards to meet the changing requirements of end user groups.

Hospitality, Events & Space Planning:

  • Establish, maintain, and enhance the relationships with OneTrust employees and internal clients so that communications are as smooth as possible when needed for project planning and work.
  • Respond to all executive team (e-team) requests with a high level of customer service.
  • Define a strategy and standards with pillars of excellence and KPIs and objectives and key results (OKRs) to create an on-brand hospitality experience for anyone interacting with a OneTrust space.
  • Partner with marketing and the people and culture teams to develop and deliver a global strategy for employee events. This includes setting standards, outcomes, and checks to ensure alignment.
  • Assess office space growth requirements, track and respond to the needs of real estate projects.
  • Track changes to and maintain updated floor plans in a consistent format for all OneTrust locations. Proactively recommend footprint changes for teams based on behavior, usage, and other needs.
  • Create scenario plans for space usage based on different workplace strategies.

Digital Workplace Management:

  • Partner with the real estate and workplace leadership to create standards and determine requirements for managing the digital workplace experience.
  • Conduct comparative research and needs assessment to determine the best solutions for Integrated Workplace Management System (IWMS), desk booking, meeting rooms, etc.
  • Manage requests and communications with employees through JIRA in partnership with other real estate and workplace team members.

Your Experience Includes

  • Superior Microsoft Office skills and working knowledge of IWMS, CAD and other relevant workplace operations applications.
  • Strong business and financial acumen, with strong analytical skills.
  • Knowledge of budgets and cost estimating. Excellent negotiation skills including vendor selection and management.
  • 7+ years of experience in facilities management, vendor management, corporate services, and program management and corporate strategy, or equivalent.
  • 2+ years of experience working in a management capacity.
  • Bachelor's degree or an equivalent combination of relevant work experience
