Overview:

We are looking for a proactive and versatile Operational Support Specialist to provide comprehensive assistance to our CEO, Communications Partner, and Workplaces Manager. This role requires a dynamic individual who can effectively manage multiple responsibilities, support various functions within the organisation, and ensure the smooth operation of daily activities. The ideal candidate will possess strong organisational skills, excellent communication abilities, and the capability to thrive in a fast-paced environment.

Responsibilities:

  • You support the CEO in managing all aspects of day to day operations (calendar, coordination of appointments, and taking care of travel arrangements) - keeping the CEO’s back clear.

  • Assist in preparing and editing correspondence, reports, presentations, and other documents for the CEO.

  • Act as a liaison between the CEO and internal/external stakeholders, handling inquiries and requests with professionalism and discretion. You can handle challenging correspondence in German and English.

  • Supporting internal communication matters and co-create on organisational communications.

  • Coordinate meetings, conferences, and events for the Communications Manager, including logistics management and agenda preparation.

  • Assist the Workplace Manager in maintaining a safe, functional, and organised work environment for employees.

  • Handle office supply management, including inventory monitoring, ordering, and distribution. Ensuring smooth office operations.

  • Support facilities management tasks, such as coordinating maintenance and repairs, and liaising with building management.

  • Support in the planning and executing workplace initiatives, events, and employee engagement activities.

  • Collaborate with other administrative staff to ensure seamless coordination and communication across departments.

Requirements:

  • Proven experience in executive support within administrative or operational capacities, ideally within a dynamic and fast-paced setting.

  • Structured and strong project management skills

  • Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders in English and German (verbal and written)

  • Proficiency in office software applications, including Slack and Google Workspace (especially Google calendar, Slides and Sheets).

  • Flexible and adaptable in a fast-paced environment

  • Hands on mentality

Location:

  • Onsite in our Berlin HQ

  • Mobile Working on request

  • Willingness to travel
